Overview

The Clinician Scheduling Manager provides leadership and direct support for the scheduling team by assuring exceptional service, quality, and accuracy of clinician schedules and templates, access support, and payroll data. The Manager fosters and cultivates necessary processes to resolve service issues, including establishing partnerships with the medical services and offices operations, managing team performance in a highly complex, fast paced environment and coordinating all team functions.

Major Responsibilities / Essential Functions – 

  • Manages and coordinates the implementation of strategies, services and activities for the Clinician Scheduling team within budgetary guidelines, monitors and controls expenditures and staffing levels.
  • Selects, coaches, develops and performance manages staff in collaboration with physician and clinic administrator partners
  • Ensures, monitors, and measures customer satisfaction and quality of service by establishing and evaluating mechanisms and programs to capture customer satisfaction.
  • Develops process improvements to drive efficiency, effectiveness and quality within clinician scheduling and multi-disciplinary care teams across the continuum of care.
  • Consults, trains, and reinforces procedures designed to impact access measures and improvements as appropriate, i.e., % booked to standard and slot utilization.
  • Working in partnership with labor and labor leaders to successfully collaborate, develop and implement organizational strategies.
  • Provides weekend/holiday/after-hours support to staff and operational leaders, as needed.
  • Acts as a liaison between clinician and operational leaders, payroll, finance, benefits, HR, care teams, regional staffing, cadence, analytics, legal, appointing and access management to ensure effective communication and rollout of CS services.
  • Sponsors the engagement of their team members with clinical/hospital operations and ancillary services to drive improvements and ensure the day-to-day needs of the business are being met.
  • Performs quality audits on schedules to ensure accuracy by guiding team members to understand and correct schedule build deficiencies.
  • Prepares assigned team(s) for all scheduling software upgrades and enhancements in partnership with the associated system management teams.

Minimum Qualifications - 

  • Bachelor’s degree in business administration, health care administration, or related field: or an Associate’s degree in in those fields with two (2) years of directly related experience; or four (4) years of directly related experience.
  • Minimum five (5) years of clinical, staff scheduling, or related operational experience.
  • Minimum three (3) years of progressive management experience or in a leadership role (such as a management, or lead function).
  • Knowledge of healthcare delivery systems.
  • Ability to lead a team through performance management, coaching, and development with a focus on achieving departmental goals.
  • Ability to build partnerships with the physician group, organized labor representatives, and peers to create a culture of commitment to patient focused service, clinician and nursing practices, innovation, compliance, and integrity.

Preferred Qualifications -

  • Bachelors degree in business administration, healthcare administration, or related field.
  • Five (5) years of progressive management experience 
  • Eight (8) years of clinical, staff scheduling, or related experience
  • Experience with Lightning Bolt
  • Experience with EPIC
