Overview

The Sports Medicine Team Program Manager provides critical support to the sports medicine clinical team and target membership by coordinating comprehensive medical care for athletes on an urgent, regular, and ongoing basis. This non-clinical position requires availability to respond promptly and facilitate communication among athletes, healthcare providers, and ancillary services. The Program Manager is responsible for managing non-clinical tasks, scheduling, and administrative coordination, to ensure the efficient operation of the team program. This role demands strong organizational skills, attention to detail, discretion, and the ability to operate effectively in a high-demand clinical environment.

The Sports Medicine Team Program Manager will also manage projects, programs and initiatives with multiple workstreams that support strategic business goals. This role will monitor and identify project/program risks, issues, and trigger events by executing mitigation plans and strategies. The professional in this position will ensure the alignment, buy-in, coordination, and support of diverse internal and external stakeholders.  This position is a hybrid role including a mix of on-site and remote work.

Primary Responsibilities:

  • Collaborates cross functionally to solve business problems and escalate issues or risks as appropriate.
  • Serves as the main contact for team athletic trainers, coaches, staff and family members for all medical scheduling needs.
  • Expedites appointments for athletes with medical specialists.  Arranges expedited diagnostic testing, including MRI, CT scans, and lab work.
  • Coordinates off-site medical care and provide logistical support for athletes who are away from the team's home base.
  • Manages communication among the team's medical staff, athletic trainers, and attending physicians to ensure consistent and high-quality care.
  • Facilitates efficient onboarding for new athletes, which may include scheduling preseason physicals and other medical screenings.
  • Serves as a resource for athletes' immediate family members, helping them navigate medical needs.
  • Assists with insurance and billing processes, ensuring timely claims submission and payment.
  • Ensures team programs deliver intended outcomes by managing activities from initiation to close out.  Monitors project/program performance to ensure initiatives effectively deliver maximum long-term value or benefit to the organization and adjust as needed as priorities and scope evolve. 
  • Manages project/program risks, issues, and trigger events by executing mitigation plans and strategies, and resolving or escalating as appropriate.

Qualifications:

  • Bachelor's degree in healthcare administration, program management, sports management or a related field.
  • Minimum three (3) years’ experience in a clinical or healthcare setting.
  • Minimum three (3) years of experience in program management, or project management in healthcare or a related field.
  • Availability to be accessible and "on-call" to respond to team needs in a timely manner, including working evenings, weekends, and holidays.
  • Excellent interpersonal, written, and verbal communication skills to effectively interact with physicians, athletes, and team management.
  • Strong familiarity with medical terminology, procedures, and Epic electronic medical record system is required.
  • Exceptional organizational and time-management abilities, with a strong attention to detail and follow-through.
  • Ability to handle sensitive and confidential information with the utmost discretion and professionalism.
  • Strong critical thinking and problem-solving skills to navigate urgent requests and unexpected challenges.
  • Ability to travel regionally to respond to urgent needs or attend in-person meetings, trainings, or events.
  • Understanding of Kaiser Permanente operations highly preferred.
  • Experience in sports medicine or athletic settings highly preferred.
