The Medical Education Program Coordinator will provide coordination and implementation of resident and student training activities within the Northwest Permanente (NWP) Graduate and Undergraduate Medical Education (GME/UME) Department and provide administrative and project support for the GME/UME department.

     

    Major Responsibilities:

    • Coordinate graduate and undergraduate clinical rotations. Initiate, organize and conduct orientations and facility tours as required.
    • In collaboration with NWP Program Site Directors, analyze and/or edit program related educational and other materials for information packets. Implement changes and prepare orientation materials for incoming students and residents.
    • Ensure required documentation is complete for each rotation.
    • Collaborate with affiliate training programs rotating at KPNW during the academic year. Address questions and concerns, and act as liaison between trainees, NWP physicians, community training programs and Kaiser Permanente staff.  Provide professional administrative assistance to both Kaiser and non - Kaiser professional personnel.
    • Ensure resident schedules are correct and meet Accreditation Council for Graduate Medical Education (ACGME) duty hour requirements. Monitor resident duty hours and address violations.
    • Maintain, analyze and audit trainee information in the GME/UME database (Access) and filing system to meet program requirements, assure compliance and annual Medicare cost report accuracy; and accuracy of invoicing. Track and monitor resident vacation and time off hours.
    • Maintain, track and monitor evaluation forms and mentors to assure resident evaluations are in 100% compliance with the Residency Review Board and GME/UME. Support clinicians participating in web-based and/or paper evaluations and assist site directors in the solicitation of preceptor evaluation feedback as requested.
    • Initiate requests to open resident and student computer accounts. Serve as liaison between IT and new users. Ensure KPHC training resources are available to trainees as needed.
    • Prepare daily routine independent correspondence and reports.
    • Assure the effectiveness of planned meetings and events by organizing appropriate accommodations of space, equipment and refreshments as needed.
    • May maintain monthly reports, including tools to track action items, issues, risks, decisions, status reports and timelines.
    • Provide other department and team support duties as assigned.

     

    Department Project Support:

    • Assist in coordination, implementation and assume responsibility of special projects as requested by GME/UME Director or Manager.

    Minimum Education:

    • Bachelor’s degree or equivalent experience in business or health related field.

    Minimum Work Experience:

    • Five (5) years of professional administrative experience.

    Additional Requirements:

    • Excellent verbal, written, and interpersonal communication skills.
    • Demonstrated ability to prioritize and complete detailed complex work accurately within constrained timeline.
    • Ability to execute duties using highest level of tact and integrity.
    • Ability to work independently with limited supervision.
    • Demonstrated organizational skills.
    • Experience in customer service or client relations.
    • Proficient computer skills of Microsoft Office products (Word, Excel and PowerPoint).
    • Ability to work in a team setting.

    Required Licensure, Certification, Registration:

    • Valid Driver License

    Preferred Education:

    • Bachelor’s degree or equivalent experience in business or health related field.

    Preferred Work Experience and Qualifications:

    • Three (3) years of experience working with healthcare professionals in a high-volume environment.
    • A solid understanding of Kaiser Permanente Core Values, goals and objectives.
    • Strong analytical and problem solving skills.
    • Basic knowledge of medical education programs and accreditation process.
    • Working knowledge of MS Project
    • Supervisory skills.
